What personal information is collected

Through the employer enquiry form: your name, job title, company name, work email address, phone number, company location, approximate employee and on-site vehicle numbers, property ownership or lease status, whether an existing vehicle-cleaning provider is in place, the department you represent, your preferred contact method and any message you send.

Through the employee-interest form: your name, work email address, mobile number, employer or workplace name, workplace suburb and province, expected use of the service, vehicle type, preferred service frequency, preferred contact method and any optional comment you add.

If you choose to share your location, we record the latitude, longitude and accuracy reported by your device at the moment you submit the form. Sharing your location is optional, your browser asks your permission first, and both forms can be submitted without it. We use it only to plan service areas and routes.

We also record your consent, the version of the consent wording you agreed to and the date and time of your submission.

Why the information is collected

We collect this information to respond to enquiries, to assess employee interest at a workplace, to prepare a possible workplace pilot proposal and to contact you about those matters.

How the information may be used

We use your information to contact you, to plan and discuss a possible workplace pilot, to understand overall levels of interest at a workplace and to keep records of consent. Where we report interest levels to an employer, we do our best to summarise demand rather than share individual details, unless you have agreed otherwise.

Whether information is shared with service providers

We use trusted service providers to host this website and store form submissions. They process information on our behalf under their own security and confidentiality obligations. We do not sell your personal information.

How long information is retained

We keep enquiry and interest information for as long as it is needed for the purpose it was collected, and thereafter only where a legal or business record is required. Our current retention period is 24 months from your last contact with us, after which enquiry and interest records are deleted. You may ask us to delete your information sooner.

Information security

We take reasonable technical and organisational measures to protect personal information. Website submissions are transmitted over an encrypted connection and are stored in a database where public visitors can submit a form but cannot read, search, change or delete submissions. Access to submitted information is limited to authorised Hlamba personnel.

Cookies and tracking

This website uses cookies that are strictly necessary for it to work, such as security and form submission. Analytics and marketing cookies are only used if you accept them in the cookie banner shown when you first arrive. Declining non-essential cookies does not affect your ability to use the site or submit a form.

You can change your cookie choice at any time.

How to request deletion of your information

Email accounts@hlamba.com with the subject line "Data deletion request" and the name, email address or phone number you used on the form. We will confirm the request, delete the information we are not legally required to keep, and confirm once it is done.

Your rights

You may request access to the personal information we hold about you, ask us to correct information that is inaccurate, or ask us to delete information where we are not required to keep it. You may also object to how we use your information.

Withdrawing consent

You may withdraw your consent at any time by contacting us using the details below. We will stop using your information for the purpose you consented to, unless we are required by law to keep a record.

If you believe your personal information has not been handled properly, you may lodge a complaint with the Information Regulator of South Africa, which oversees the Protection of Personal Information Act.

No customer contract

Submitting an employer enquiry or an employee-interest form does not create a customer contract, a booking or an approved on-site operation. Any workplace pilot requires a separate proposal and written site approval.
